Job description
Office Assistant
This is a temporary fixed term position as a cover for maternity leave.
As an Office Assistant at Itekako, your role will be vital in ensuring the smooth operation of our office and supporting daily administrative tasks. You will serve as the first point of contact for visitors, creating a welcoming atmosphere and ensuring positive interactions. Your responsibilities will include overseeing the cleanliness and organization of the office, managing communication, and coordinating schedules to help streamline operations. Additionally, you’ll assist with HR-related tasks, ensuring efficient processing of employee documents and supporting onboarding and offboarding processes.
- Represent our culture: Serve as the first point of contact and welcome visitors at the reception desk, ensuring every interaction leaves a positive first impression. Manage friendly and professional visitor sign-ins, and promptly notify the team of guest arrivals
- Keep Us Running Smoothly: Oversee maintenance and organization of the office environment, ensure tidiness and serve as the main point of contact for vendors, service providers, and office maintenance to ensure seamless operations and a productive workspace
- Streamline communication and schedules: Manage phone calls, emails, correspondence, and appointments, while coordinating travel arrangements to keep operations running smoothly and efficiently
- Be the master of details and structure: Write clear and concise reports for the business, presenting the data from our internal tools in a way that’s easy to understand
- Support HR operations: Handle HR administration with care, from processing employee documents to supporting smooth onboarding and offboarding, ensuring a seamless experience for all
- Bachelor's degree in business, administration, social sciences or related field
- You have a minimum 1 year of experience in an office administration role, preferably in a corporate, tech or fast-paced environment
- You are a clear communicator. Whether speaking on the phone or greeting visitors, you know how to convey information effectively and professionally
- You are tech-savvy. You’re comfortable with office software like Microsoft Office Suite, Google Workspace, and other basic office tools and equipment (e.g. printers, scanners) ensuring you stay efficient and organized
- You have a strong organizational mindset. You can juggle multiple tasks at once, ensuring that appointments, meetings, and daily office activities run seamlessly
- You have a keen eye for detail. Whether it’s managing schedules, filing documents, or preparing reports, you ensure everything is accurate and well-organized
- You maintain confidentiality and discretion. You handle sensitive information with care and professionalism, ensuring privacy is respected
